Registration Guidelines

All participants are kindly recommended to register via the Online Registration Form. Please read the instructions on the website carefully.
To benefit from the reduced early registration fee, please process your registration before June 15, 2012.
Upon submitting the Registration Form, you will receive a PRN (Participant Registration Number) by e-mail which is to be included in payment details.
Please do not send any payments without PRN included in payment details. Such payments cannot be identified.
All participants are kindly requested to register in advance by completing and submitting the Registration Form with the appropriate fees.
Registration Fees
Please note that unpaid pre-registration will not be considered as a valid registration unless fully paid and confirmed. Pre-registration summary therefore can not be taken as a valid registration confirmation. Please make sure to pay your registration fee within the time frame for early or late registration.
Please note that authors of accepted abstract must be registered by July 15, 2012. If your Registration is not processed and fully paid by July 15, 2012 your abstract will not be included in the conference programme.

### Student registration fee conditions listed below;
EC employees are authorized to ask for VAT exemption and therefore pay a registration fee free of VAT. (VAT exemption form downloadable here)
We are expecting to be able to offer bursary support to pay registration/ travel expenses for a limited no. of participants from developing countries. However preference will be given to those who are making some form of presentation. We are currently working on raising sufficient funding for the bursaries thus we would announce bursary opportunities later on together with the bursaries application criteria.

EES Student membership conditions
The applicants interested in the Student membership category are kindly asked to provide the Conference Department (info@ees2012.org) with following information and documentation before subscribing the student fee:
- Name and contact details of the applicant
- Name of the University
- Type and name of Study Program
- Start of the Study Program
- Duration of the Study Program
- Contact person from the University, who can vouch for the student's status (reference)
- Letter of recommendation or proof/certificate of the student status from the University (e.g. pdf copy of original inscription at a University or attestation by a professor)
Once all the conditions are met (the documentation is reviewed and approved by the EES) the applicant will be contacted by the EES Secretariat. If the application process was successful, the applicant will be asked to proceed with the online student registration fee.
Group discount
For groups of more than 5 people - 5 % and for group of 10 people - 10 % applies only for EARLY rates. For group registration please contact our secretariat at groups@ees2012.org.
Registration fees include:
- Admission to programme sessions, exhibition and poster area
- Conference bag, Final Programme, Abstract Book
- Coffee breaks
- Admission to ‘Get Together‘
- Lunches (if not registered for the special fee)
All Participants need to re-confirm attendance of all functions in their Registration Form.
Confirmation
Upon receipt of the correct registration fee (clear of bank charges), each participant will receive a confirmation of registration. Please bring this confirmation to the Registration desk at the Finlandia Hall as proof of your registration. Confirmation will be sent upon receipt of payment. Please note that registration for the various tours and events will be confirmed upon payment on a “first come, first served” basis and numbers may be restricted.

All fees for the Conference registration should be paid in EUR (€), free of all bank charges

Please include PRN (personal registration number) as variable symbol to identify your payment. Please, forward a copy of the transfer stating the participant’s name. A full payment free of any bank charges must be received by CZECH-IN.
After September 1, 2012 you are kindly requested to make all payments by credit card exclusively or to register on-site. Payment by bank transfer will no longer be available by then.
Cancellation / Refund Policy
ll cancellations must be notified in writing (by mail, fax or e-mail) to the Conference Department according to the following conditions.
Please note cancellations received:
Until July 15, 2012 - € 40 will be withheld for administrative fees
From July 15, 2012 till August 15, 2012 - reimbursement of 50% of the fees paid
As of August 15, 2012 - no refund can be processed
Registrants may transfer their registration to a colleague at any time. In the case of a name change, a fee of € 30 will be charged. All registrations received at the Conference Department - CZECH-IN, by September 15, 2012 will be included in the list of participants.
Insurance
The registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.
Responsibility
The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Conference be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
